BitPolo (“we,” “us,” “our,” “BitPolo”) is the operating entity of www.bitpolo.com and other services like mobile applications, desktop applications, GUIs, APIs, etc., collectively known as the Services.

This information is provided by you, the user, when you register with us, update your profile, submit your KYC application, send us a query through our support services, or provide us feedback via our feedback systems, which may include our social media handles.
Information that you provide may include but not limited to your Name, Country of Residence, Physical Address, Tax Identification Number, Driving License, Passport, National ID, Email Address, Visa/Mastercard details (only when you make a purchase or a payment using our Services), etc.
This information may be processed to provide you with the services that you request and to localize or personalize your experience using our Services. It may also be used to communicate our updates and announcements to you.

From time to time, you may come across certain trusted third parties when you access our Services. We may gather information from these third parties which constitute our KYC partners, Social Media partners, Marketing partners, Public Databases, etc. These third-party services may also collect and maintain your personal information with respect to their privacy policies and are governed by the appropriate jurisdiction in which they operate.
BitPolo may also use the information obtained from you to comply with Anti-Money Laundering (AML) and Know Your Customer (KYC) laws.
We may share your personal information with our subsidiaries, third-party associates and partners, for the uninterrupted execution of our Services, analysis of marketing and other generalized data, and for the purpose of advertising.
We may also share your PI with a regulatory body or a governing authority, under reasonable grounds and in our sole discretion, to comply with the laws governing the jurisdictions in which we operate. We may also share your PI and consolidated as well as anonymized data with the aforementioned bodies to comply with Anti-Money Laundering (AML) and Counter-Terrorist Financing (CTF) laws.
We operate in multiple jurisdictions. Thus, your PI may be handled in a jurisdiction different from the one in which you accessed our services. The PI laws governing these jurisdictions may vary from the laws in your jurisdiction. In such cases, we have taken the necessary and adequate measures to deal with the protection of your PI. Such measures are within our reasonable capabilities and comply with the data portability laws set forth in the country of your residence.

Being a resident of the European Economic Area, you can object to the processing of your personal information provided that the processing is not bound by a legal or regulatory responsibility. You can object to the processing in any one of the following cases, (i) if your PI is used for the sole purpose of marketing, (ii) if you withdraw consent, (iii) if we no longer need your personal information with regards to the services that we provide, (iv) if your personal information has been used for wrongful purposes or purposes other than those contained in the Policy. Similarly, you can ask for the erasure of your personal information, however, it may be retained under the direction of a legal body, a governmental or regulatory authority.

The data retention and erasure policy sets out the duration within which your data is retained and the cases where it is erased.
Your PI is generally retained for a period of 5 years after the termination of your account with us and will be subject to this Policy after termination. If the Policy is updated, then the updated Policy will take effect. If you want your PI erased from our logs prior to the period set forth above, then you may request erasure via email to [email protected]
Though you have every right to see through the erasure of your PI retained with us, under the direction of a legal body, or governmental or regulatory authority, or in our sole discretion, suspect unlawful activity in your account, we may choose to withhold your request.
We do not provide our Services for the use of children or any persons under the legal age of 18 or under any legal age as prescribed by applicable laws; nor do we endorse the use of our Services by such persons. Promptly, if you are under the legal age, then do not use our Services or provide your personal information.
Our Services are also not meant for use in areas or jurisdictions where it is deemed restricted by the governing authority. Thus, if you’re a person residing in any of these areas or jurisdictions then we advise you to abstain from using our Services.

At the same time, we request you to maintain the safety and confidentiality of your password, secret keys, security keys (2FA codes) and passphrases, etc.
Our systems can effectively prevent unauthorized access and use a username and password authentication system. All our services are hosted on the GCP secure servers.
